Conference Assistant (CA)

The Conference Assistant (CA) is involved in all phases of the summer conference operation, including (but not limited to) building/facility operations (e.g., common area set-up, room checks, and bathroom assessments), check-in and check-out, on-site logistics, and handling linens. CAs must be willing to work a flexible schedule, including weekdays, evenings, late evenings, early mornings, and weekends. CAs are provided housing based as a condition of employment. This position reports directly to the Assistant Director for Summer Operations (ADSO) or other designated supervisor.

Community Desk Assistant

Job Summary

The Community Desk Assistant is a para-professional appointed for an academic year to work at the front desks in the residence halls. The Desk Assistant operates the front desk of each residence hall to provide assistance to residents and guests as well as to report concerns to the building staff. The Desk Assistant collaborates with the residence hall staff, contracted security, and the Area Coordinator to support the health, safety, and wellness within the building. The Area Coordinator of each building is the direct supervisor of their Desk Assistants staff.

Essential Duties and Responsibilities

  • Maintain security in the residence halls.
  • Stay alert and monitor all traffic of residents/guests in the residence hall lobby.
  • Greet everyone who enters the residence hall lobby.
  • Use campus and community approved resources to assist a guest or resident.
  • Abide by UHRE student staff dress guidelines.
  • Serve as first responder and report safety or security incidents.
  • Alert the University of Louisville Police Department of any fire alarms or incident requiring their attention, such as residents requiring medical attention.
  • Model hall policies and enforce escort policy with residents.

Minimum Requirements

  • Desk Assistants must maintain a cumulative grade point average of 2.5 on a 4.0 scale throughout the duration of their employment.
  • Desk Assistants must be enrolled students at the University of Louisville. Desk Assistants do not have to be enrolled in a/any class(es) during the summer sessions to remain eligible for the position.
  • Desk Assistants must be at least 18 years old at the time of application.
  • Desk Assistants must maintain good academic and conduct standing with the University of Louisville.
  • Desk Assistants are required to attend all scheduled training sessions.
  • Desk Assistants cannot have any standing violations with UHRE or with the University.

Graphic Designer (GD)

Graphic Designers assist the Marketing Coordinator in developing content across various platforms (website, social media, print, etc.). They also contribute to the ongoing development of a University Housing departmental marketing and branding strategy in accordance with Divisional (Student Affairs) and institutional regulations. This means that Designers constantly must review guidelines to ensure that our departmental objectives align with those of the university. Designers should demonstrate at least a basic working knowledge of Adobe Creative Suites or an equivalent design software, as these more advanced tools often are utilized for improving the quality of our marketing materials.

The Facility Assistant (FA)

The Facility Assistant (FA) is a para-professional appointed on a semester basis to work in the residence halls to identify and report facility-related issues and follow-up to maintenance concerns and projects in order to support a living environment that is conducive to student learning and community building. In addition, the position provides support at University Housing's central office as needed. The position operates primarily in the field, walking the residence halls, visiting residences and managing inventory spaces. The FA works collaboratively with the residence hall staff, the Facility Maintenance Coordinator (FMC), and the Assistant Director for Facility Operations (ADFO). The FMC or ADFO are the direct supervisor of the FA staff. Each FA is expected to work, at minimum, 20 hours per week in the position. NO FA may work more than 29 hours in any employment at the University of Louisville. A second position on campus must be approved by the ADFO. FAs must meet conditions of employment to reside on campus for their positional responsibilities. Housing is provided as a condition of employment.

Office Assistant (OA)

This employee is responsible for providing customer service on behalf of University Housing both in-person at the front desk and related events as well as electronically and by phone. In addition to assisting prospective and current students in navigating the housing search (including the facilitation of tours), selection and application processes, and other relevant procedures, this employee will also assist his/her direct supervisor, the Customer Service Coordinator, in implementing housing-related projects.

Office Technology Assistant (OTA)

The Office Technology Assistant (OTA) acts as a first-tier technology support resource for University Housing office staff and hall residents. OTA's provide in-person support to housing and hall staff regarding computing, information security, and hardware issues, as well as residents for cable troubleshooting. This position is directly supervised by a professional staff member of the Housing department and will also utilize communication with the university's Information and Technology department to troubleshoot issues that arise or to maintain secure information management and storage for Housing.

What is a Resident Assistant?

The Resident Assistants (RAs) are student leaders who live in the residence halls to help develop and maintain an inclusive community where residents can feel safe, accepted, welcomed, and supported. RAs’ main goal is to create an environment that stimulates the residents’ academic success, social development, and personal growth by implementing the Residential Curriculum, maintaining community standards, assisting with facility operations, and completing administrative responsibilities. RAs play an essential role to enhance retention to UofL, progression in classes, and graduation of on-campus residents.

When considering the role of a Resident Assistant (RA), it's important to understand that while it offers valuable rewards, it can also be quite demanding and challenging. By becoming an RA, you have a chance to develop your leadership skills, foster meaningful relationships, and serve as a role model for fellow students. As you embark on this journey, please take the commitment seriously, as being an RA should be a top priority.

It's worth noting that RAs are expected to dedicate 20 hours per week to their responsibilities, and this role spans two semesters. This is something to keep in mind as you weigh your decision to become an RA.

Please refrain from applying for this position if you foresee any plans to engage in a co-op, student teaching, internship, assistantship, athletic commitments, or any other substantial external time obligations during the Fall 2025 or Spring 2026 semesters. This is because the role entails a two-semester commitment, and it's essential to ensure that you can fully dedicate yourself to the responsibilities at hand during this time.

Expectations of an RA

As an RA, there are several key responsibilities and expectations to fulfill:

  • Build a strong, positive, inclusive community, and foster relationships through the awareness and appreciation of differences and diversity concerns on the floor and in the hall that enhances the resident experience. Support residents with their transition to university and residence hall life.
  • Be present in assigned community to be available and accessible to residents.
  • Identify disengaged residents and work to actively engage all residents in the community.
  • Implement and promote residential programs and strategies that support the residential education in addition to developing social programs.
  • Enforce and educate students about relevant campus policies.
  • Maintain appropriate confidentiality and execute discretion with all information.
  • Serve in the on-call rotation for their facility. This rotation will include weeknight, weekends, and holidays.
  • Participate in all mandatory training and in-services training as determined by professional staff.
  • Attend all mandatory staff meetings and individual meeting.
  • Actively respond to concerns by taking direction from University Housing leadership and documenting incidents within the residence halls related to students in crisis, roommate conflicts, policy violations, maintenance issues, and natural disasters.
  • Focus on the positive and exhibit a caring and optimistic attitude.
  • Act as a positive role-model for both fellow staff members and residents, by not participating in questionable or unethical behavior.
  • Demonstrate mature, responsible decision-making.

Eligibility

To be eligible for the RA position:

  • RAs must be at least 18 years old and have completed at least one semester at an accredited college or university at the time of application.
  • RAs must be enrolled as full-time students at UofL. Enrollment in classes during the summer semester is not required to remain eligible for the position.
  • RAs must maintain a cumulative GPA of 2.7 or higher.
  • RAs must maintain good academic and conduct standing with the University of Louisville.

Qualifications/Skills

Desired qualifications and skills for an RA include:

  • Strong interpersonal and communication skills.
  • Effective problem-solving abilities.
  • Excellent organizational and logistical skills.
  • The capability to respond to and assess urgent situations.

Compensation

In return for their dedication, RAs receive the following compensation:

  • A private room.
  • A meal plan.
  • Additional hours worked at the Front Desk are paid at a rate of $15 per hour.

Social Media Assistant (SMA)

The Social Media Assistant supports the Marketing Coordinator in developing and scheduling media content that is engaging, resident-focused, and in alignment with the university’s strategic plan, specifically regarding the promotion of residential communities. Regular attendance at residential and Living-Learning and Themed Community programming is required. Primary media disciplines include photography and videography. The social media assistant will work in tandem with two student graphic designers in order to produce social media and webpage content that aligns with the mission, values, and brand strategy of the department and university. The assistant will also be responsible for assisting the Marketing Coordinator in compiling monthly analytics reports and interpretive summaries of those reports in order to improve the department’s social media strategy. Marketing and communications majors are strongly preferred.

Student Assistant

This position is responsible for providing support to Central Office Staff and general office support University Housing.

Student Webmaster

The Student Webmaster is responsible for major website updates, including creating new webpages, migrating existing webpages, editing webpage content, uploading images, and ensuring that the University Housing website (and its subsequent pages) are compliant with website requirements as outlined in the Americans with Disabilities Act. This position reports to the Coordinator for Technology Administration and serves as the main contact for any webpage or web-based form requests, including report generation. If needed, the Student Webmaster will regularly communicate with the University of Louisville’s web design team.
